About This Policy
This Website Privacy Policy explains how Valentine Psychiatry, PC (the “Practice,” “we,” “us,” and “our”) collects, uses, and shares information when you visit valentinepsychiatry.com (the “Website”), contact us through the Website, or subscribe to our communications. By using the Website, you agree to the practices described in this Policy.
This Policy does not govern the health information we create or receive in the course of providing care. Once you become a patient, or when you submit information through our patient portal or intake forms, that information is protected health information and is governed by our Notice of Privacy Practices, which is available on the Website and at our office. If this Policy and the Notice of Privacy Practices conflict with respect to your health information, the Notice of Privacy Practices controls.
Please Do Not Use the Website for Emergencies
The Website, its contact form, and the patient portal are not monitored for emergencies. If you are experiencing a mental health crisis, call or text 988 (Suicide & Crisis Lifeline), call 911, or go to your nearest emergency room. Please share only the information needed for us to respond when contacting us through the Website, and save detailed clinical information for your intro call or appointment.
Information We Collect
Information you provide to us. We collect information you choose to give us, such as when you request a free 15-minute intro call, complete a contact form, call us, subscribe to the Lighthouse Journal or other updates, or use a virtual assistant if one is offered on the Website. This may include your name, email address, phone number, preferred contact method, state of residence, the reason you are reaching out, and anything else you include in your message.
Information collected automatically. When you visit the Website, we and our service providers automatically collect certain technical information, including your IP address, general location (such as city or state), browser and device type, operating system, the pages you view, the time and length of your visit, and the website or advertisement that referred you. This information is collected through cookies, pixels, and similar technologies, described below.
Information from advertising partners. If you reach the Website by clicking on one of our advertisements, such as a Google Ads search ad, the advertising platform may share limited information with us, such as the ad you clicked and whether you later contacted us, so that we can measure how well our advertising performs.
How We Use Information
We use the information described above to:
- Respond to you. Respond to your inquiries, schedule intro calls, and determine whether our services are a good fit for your needs.
- Send communications you requested. Send appointment-related messages, the Lighthouse Journal, or other updates you have subscribed to. You may unsubscribe at any time.
- Operate and improve the Website. Maintain the Website, keep it secure, understand how visitors use it, and improve its content and design.
- Measure our advertising. Understand which advertisements and referral sources bring visitors to the Website and lead to contact with the Practice.
- Meet legal obligations. Comply with applicable laws, respond to lawful requests, and protect the rights, safety, and property of the Practice, our patients, and others.
Cookies and Tracking Technologies
Cookies are small files stored on your device. Pixels and similar technologies are small pieces of code that record when a page is viewed or an action is taken. The Website uses these technologies for the following purposes:
- Hosting and essential functions. The Website is hosted by Vercel, which processes technical information such as IP addresses and server logs to deliver the Website and protect it from abuse. Our contact form and patient portal are provided by SimplePractice, which may use cookies that are necessary for those features to function properly.
- Embedded content. Some pages may include videos hosted by YouTube, a Google service. When you view a page with an embedded video, YouTube may collect information about your visit and set its own cookies, subject to its own privacy policy.
- Analytics. We use Google Analytics to understand how visitors use the Website, such as which pages are viewed most often. Google’s use of this information is governed by Google’s Privacy Policy. You can opt out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on.
- Advertising. We use Google Ads conversion tracking to measure whether visitors who click our advertisements later contact the Practice. You can manage how Google uses information for advertising through Google’s Ad Settings.
Our Google Analytics and Google Ads tools run on the public pages of the Website only. Our contact form, patient portal, and intake forms are hosted by SimplePractice on its own site, and we do not place advertising or analytics tracking technologies on them, and we do not share the content of messages you send us, or information you enter into appointment request forms, with advertising platforms.
Most browsers allow you to block or delete cookies through their settings. If you block essential cookies, parts of the Website may not function properly.
Do Not Track. Some browsers offer a “Do Not Track” signal. Because there is not yet a common industry standard for responding to these signals, the Website does not currently respond to them. Third parties, such as Google, may collect information about your online activities over time and across different websites when you use the Website, as described in this section.
Virtual Assistant
From time to time, the Website may offer an AI-powered virtual assistant to answer general questions about the Practice, our policies, and scheduling. When it is available, conversations with the virtual assistant are recorded and processed by our service provider so that we can respond to you and review how the assistant is performing. The virtual assistant does not provide medical advice. Please do not share detailed health information through it; if you become a patient, information you shared may be added to your record and will then be governed by our Notice of Privacy Practices.
Text Messages
If you provide your mobile number and agree to receive text messages from the Practice, we will use your number to send the messages you agreed to receive, such as appointment scheduling and reminders. Message and data rates may apply. You can reply STOP at any time to opt out, or HELP for assistance. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent will not be shared with any third parties, except service providers that help us deliver messages.
How We Share Information
We do not sell your personal information for money. We share information only as follows:
- Service providers. With companies that perform services for us, such as our website hosting provider (Vercel), practice management and patient portal provider (SimplePractice), email newsletter provider (GoHighLevel, which collects your name and email address when you subscribe to the Lighthouse Journal), text messaging providers, analytics providers, and advertising platforms, as described above. These providers may use the information only to provide services to us, subject to their own privacy terms and, where health information is involved, a business associate agreement.
- Legal requirements. When required by law, subpoena, or court order, or when we believe disclosure is necessary to protect the safety of any person.
- Business transfers. In connection with a sale, merger, or transfer of the Practice, subject to applicable law and to the protections of our Notice of Privacy Practices for any health information.
- With your consent. In any other situation where you have given us permission.
Your Choices and Rights
You may contact us at any time to ask what personal information we have collected about you through the Website, to request that we correct or delete it, or to stop receiving emails or text messages from us. We will respond within a reasonable time and as required by applicable law. Depending on the state where you live, you may have additional privacy rights, and we will honor those rights as required by law. Some information may need to be kept to meet legal or record-keeping requirements, including requirements that apply to medical records.
Children’s Privacy
The Website is not directed to children under 13, and we do not knowingly collect personal information from children under 13 through the Website. If you believe a child under 13 has provided us with personal information, please contact us and we will delete it. The Practice provides care to patients age 14 and older; for patients under 18, we ask that a parent or legal guardian be involved in scheduling and intake.
Data Security and Retention
We use reasonable administrative, technical, and physical safeguards to protect the information we collect. However, no website, internet transmission, or email is completely secure, and we cannot guarantee the security of information you send to us online. Standard email and text messages are not encrypted, so please do not use them to send sensitive health information. Current patients should use the secure patient portal to communicate with the Practice. We keep Website information only as long as needed for the purposes described in this Policy or as required by law.
